Booking a Single Event

We would love to facilitate your one off event and you can do it all from this page. The first question is ‘Are we right for you and your event?’

Capacity:
The Village Hall has a maximum capacity of 60 people and only accepts low risk activities e.g. No Bouncy Castles, Fireworks or Lanterns.

Facilities:
Large main hall, small meeting room, kitchen (includes double oven, microwave, fridge, dishwasher) and 3 toilets – one of which has disabled access and baby changing facilities.

Shared access:
The Village Hall operates a ‘shared access’ policy specifically for bowls and tennis players who may wish to use the facilities. They know however to use the side door for access to the building and will not encroach on hirers event.

Safeguarding:
Gosforth Garden Village Associations safeguarding responsibility is limited to the provision of Gosforth Garden Village Association facilities and not any subsequent users/hirers (including Gosforth Garden Village Bowls club and Tennis club). Refer to our Safeguarding Policy for full details.

Supervision:
The supervision of children on site is of paramount importance. For their safety, the bowling green and allotments are not to be accessed. 

Insurance:
Our insurance company provides basic cover for any injury to individuals or damage to the building or the site.  Please read and accept fully the conditions in documents: Insurance details and Insurance summary. It is the responsibility of the Hirer to ensure that there is appropriate insurance for any entertainer or equipment used.

We have tried to minimise the Do’s and Don’ts, which in brief are ‘Please be pleasant and thoughtful when using the Village Hall’, but these are longer and hopefully helpful Arrival Checklist and Departure Checklist.

If you think we are right for your one off event, please:

  1. Click calendar to check for availability on the day you want to book. The calendar is completely up to date.
  2. Complete all sections of the Booking and Payment form
  3. Await email receipt of your booking.
  4. Make payment as per information contained in the Booking and Payment form.
  5. Send email to booking@ggva.co.uk confirming payment
  6. Five days before your event you will receive a Welcome Pack including current access and alarm codes.
  7. Tells us what you liked about the Gosforth Garden Village Hall and how it can be improved.

We would like to enable you to run a class or club in the Village Hall but you need to decide if we are right for you and your proposed activity?

How much will my booking cost?

We charge £12.00 per hour weekdays and weekends.

Can I book online?

Yes. Please complete Booking and Payment Form

How do I pay?

By bank transfer to:

Please reference payment as: Your name and date of the booking e.g. Smith30Dec

Then email: booking@ggva.co.uk to confirm payment.

When do I pay?

For ad hoc bookings, we ask that you pay in advance. For regular bookings it is quarterly in advance.

How do I get into the Village Hall for my event?

Details will be provided in the welcome pack

What furniture is available in the centre?

Do you have a kitchen that I can use?

Yes

When is the Village Hall open?

Although the Village Hall isn’t manned, we do have time limits. Events cannot start before 8am and must be finished by 11pm.

Do I need to pay a deposit?

No.

How do I cancel a booking?

Email booking@ggva.co.uk a minimum of seven days before your event, giving us time to accept another booking. Tell us the date and time your event is booked for and your bank details so we can reimburse you.

Do you still charge if I cancel?

Only if you don’t tell us in advance.
